The following procedures must be followed by any persons using the Conference Center and shall be provided upon reservation of rooms within the Government Center Conference Center.

Reservations
A reservation request can be done via phone or by email. A phone request will be followed up by an email confirmation.

  • When reserving space in the Conference Center you MUST add ample time to the beginning and end of each reservation to allow time for set up and clean up. This includes testing the AV equipment. Failure to add additional set up time to the reservation and showing up for set up may result in a delay or cancellation of events.
  • Meetings and activities should begin and end on time. Sufficient time shall be given for set up and clean up within the scheduled time for the reservation so back-to-back events may be scheduled.
    • All garbage and items used during the event will be cleaned up, placed in appropriate receptacles, and removed from the reserved room by the persons using the Conference Center.
  • All non-Adams County users of the Conference Centers may be required to use an Adams County provided loaner laptop for A/V use.  Please have any presentations, videos, etc., saved to a flash drive to use the loaner laptops.

Meeting Signage:
Temporary signage may be provided by the Conference Center Coordinator if needed.  Temporary signs or any other items may not be taped or affixed to any surfaces in the facility.

Catering:

  • All catering orders should be brought in through the West entrance.  Please contact the Conference Center Coordinator for assistance or recommendations.
  • Per the building use policies, being under the influence, use, or consumption of illegal drugs, controlled substances, or alcoholic beverages, in or on the Government Center grounds, is not permitted.

Cancellation:
Reservations must be cancelled as soon as you know your meeting has been cancelled.

Failure to cancel reservations in a timely manner may result in forfeiting future meeting requests.  Two consecutive no shows may also result in cancellations of future meetings.

Failure to follow these procedures will result in forfeiting future meeting requests.
